How to run a punch list
- Walk the job room by room with the owner, and add every item with its room.
- Assign each item to a person or trade.
- Change the status to Done as items are finished. Progress by room updates instantly.
- Print the sign-off sheet when every item is done, and walk it again with the owner.
How progress is calculated
Percent complete = items done ÷ total items × 100
By room = items done in that room ÷ items in that room
Worked example
A remodel with 18 punch items, 11 finished
- 11 ÷ 18 = 0.611, so the list is 61.1% complete.
- 7 items are still open; the open list shows who each one is waiting on.
Typical punch list items
| Area | Common items |
|---|---|
| Paint and drywall | Touch-ups, nail pops, cut-in lines, outlet cover marks |
| Doors and cabinets | Sticking doors, misaligned hinges, missing bumpers or pulls |
| Tile and counters | Grout gaps, caulk joints, chipped edges |
| Fixtures | Loose handles, drips, missing towel bars or covers |
| General | Final clean, debris removal, protective film left on |
Common mistakes to avoid
- Unassigned items. Everything on the list needs a name next to it.
- Vague items. "Fix paint" is not enough; say where and what.
- Adding new work. New requests are change orders, not punch items.
Frequently asked questions
What is a punch list?
A punch list is the list of small items still to finish or fix at the end of a job: paint touch-ups, adjustments, missing hardware, cleaning. The contractor completes them and the owner signs off.
When do you make a punch list?
Near the end of the job, during a walk-through with the owner or their representative. Many contractors do their own walk-through first so the owner's list is short.
How is the percent complete worked out?
Items marked done divided by all items. 11 done out of 18 is 61.1% complete.
Who should be on each item?
Name the person or trade responsible for every item. Unassigned items are the ones that never get done, so the calculator warns you about them.
Does a finished punch list mean final payment?
Often, but it depends on your contract. Many contracts tie final payment or release of retainage to completing the punch list.
